Define the sellable unit before discussing price

A peptide vial is not a complete commercial specification. A quotation can refer to one vial, one box, a master carton or a bulk fill-and-finish project. If the sellable unit is not written down, price comparisons quickly become unreliable.

Begin with a simple hierarchy: amount per vial, vials per box, boxes per case and total order quantity. State whether the amount is a target fill, a labeled quantity or another agreed basis. The quotation should repeat the same hierarchy so both parties are comparing the same deliverable.

  • Product name and accepted identifier
  • Amount per vial and required unit
  • Vials per retail or research box
  • Number of boxes and total vial count
  • Any master-carton or shipment configuration

Separate material attributes from packaging attributes

Purity, identity and amount are material or analytical requirements. Vial size, stopper or cap color, label dimensions and carton construction are packaging requirements. They belong in the same RFQ, but they should not be blended into one unstructured note.

Separating the two groups makes changes visible. A buyer can approve a cap-color revision without accidentally changing the analytical specification, or revise the quantity without reopening approved artwork.

Material layer

Product identifier, target amount, purity or other agreed acceptance criteria, batch documentation and storage statement.

Packaging layer

Vial format, closure, cap color, label size, box count, artwork version and carton configuration.

Create a controlled label-field list

A label should be treated as structured data, not only as a design. List every field that must appear, identify its source and state whether it is permanent artwork or variable batch information.

Typical fields may include the product name, amount, research-use statement, storage information, lot or batch number, production or packaging date, and the customer brand. Only statements that are accurate for the specific product and destination should be approved.

  • Permanent fields: brand, layout, standard wording and fixed graphics
  • Variable fields: product, amount, batch number and relevant dates
  • Controlled fields: storage, handling or market-specific statements
  • Excluded fields: unverified certifications, medical claims or customer-confidential information

Make batch identification readable and durable

The batch identifier connects the physical vial to available records. It should be legible on the vial or its immediate label and remain consistent with the box, packing list and available batch documentation.

A practical traceability check asks whether a receiving team can select one vial and follow its identifier back through the box, shipment record and document set without relying on memory or an informal chat history.

  • Use one controlled batch format across the approved packaging level
  • Avoid codes that are truncated by label size or print resolution
  • Verify the variable-data file before printing
  • Retain the approved artwork and representative packaging record

Control private-label artwork by version

Private-label projects introduce additional failure points because the customer, manufacturer and printer may each hold a different file. Assign a version or approval date to the artwork, generate a packaging rendering, and obtain written approval before production.

Add a pre-shipment packaging inspection

A packaging inspection should verify the physical configuration against the approved order. For this project, the control set includes appearance, weight, label, packaging integrity, batch-number consistency and retention sampling.

Photographs can support a visual check, but they should not replace the controlled order record. The inspection result should identify the sampled batch and the approved artwork or specification version.

Write the RFQ as a configuration matrix

For multi-product procurement, use one row per product and one column per controlled field. This reduces copy-and-paste errors and makes it possible to select several products and quantities in a single RFQ.

Repeat the same fields during receiving

Receiving inspection should mirror the RFQ rather than invent a new checklist. Verify product, amount, quantity, batch code, label version and packaging integrity, then record any discrepancy before the goods are distributed.

A consistent specification from RFQ through receiving gives both parties a clear basis for correction if the delivered configuration does not match the approved order.
